Apex Gymnastics – Quick Guide to Club Rules
Welcome! These are our main club rules to help keep everyone safe and happy. Our full, detailed Terms and Conditions (T&Cs) have more information – you can find them on our website
1. Membership & Fees
British Gymnastics Membership: REQUIRED! Every gymnast needs current membership with British Gymnastics (this includes insurance).
Renew Yearly: Parents, you must renew this directly when British Gymnastics emails you each year. No valid membership = no gymnastics.
Club Fees: Please pay Apex class fees on time to secure your child's place.
2. Health & Safety First!
Tell Us: Please inform us of any medical conditions, injuries, allergies, or medication your child has on the registration form, and update us if things change.
Stay Home if Sick: If your child is unwell (fever, vomiting, etc.), please keep them home until fully recovered.
Report Injuries: Tell the coach immediately about any accident or injury during class, big or small.
Emergency Consent: By joining, you agree we can give first aid or get emergency help if needed (as detailed in the full T&Cs).
Know the Risks: Gymnastics is fun but can have risks. Following safety rules is key.
3. Coming & Going (at Aspire Centre)
Be On Time: Arrive a few minutes before class starts.
Safe Drop-off: Bring your child inside the designated Aspire Centre waiting area. Please don't just drop them off outside.
Prompt Pick-up: Collect your child on time from the designated spot inside the building.
Authorised Collection: Only adults you've named (in writing) can pick up your child. Tell us if someone different is coming!
Safety Plan: Teach your child to find a coach if their pick-up person isn't there. They must never leave the building alone.
Keep Contacts Updated: Make sure we always have your correct phone number.
4. What to Wear & Bring
Gym Kit: Wear proper gym clothes like a leotard, or club t-shirt with shorts/leggings. No hoods, zips, belts, or baggy clothes.
Hair Tied Back: Long hair must be tied back securely and away from the face.
NO JEWELLERY! For safety, absolutely no jewellery (earrings, necklaces, rings, watches, fitness trackers) can be worn during class.
Water Bottle: Bring a named water bottle (water only, please).
No Food/Gum: No food, fizzy drinks, or chewing gum allowed in the gym area.
Valuables: Please leave valuables at home. We can't be responsible for lost items.
5. Inside the Gym
Listen to Coaches: Always follow your coach's instructions carefully.
Wait for Your Coach: Don't go into the gym area or onto equipment until your coach tells you to.
Use Equipment Safely: Only use apparatus when a coach gives permission and is supervising.
Be Kind & Respectful: Treat coaches, staff, and other gymnasts nicely. No fooling around, bullying, or being disruptive.
6. For Parents & Visitors
No Staying During Class: Sorry, parents can't usually stay in the gym during regular classes (it helps gymnasts focus!).
'Watching Weeks': We invite you to watch during special weeks, usually at the end of term. We'll let you know the dates!
Watching Week Rules: Please stay in the viewing area, keep noise low, supervise siblings, and no flash photos. Video recording is usually not allowed.
7. Class Changes & Missed Sessions
Timetable Changes: Sometimes class times might need to change as gymnasts progress. We'll give you notice.
Cancellations: If we have to cancel a class (e.g., venue issue), we'll inform you about options.
If You Miss a Class: We cannot offer refunds or make-up sessions if your child misses a class for personal reasons (like holidays or sickness). Your fee holds the place for the whole term.

Apex Gymnastics – Terms and Conditions for Participation
Version 1.2 – Effective Date: 16 December 2025
PLEASE READ THESE TERMS AND CONDITIONS CAREFULLY. AGREEMENT TO THESE TERMS IS A CONDITION OF PARTICIPATION IN ANY APEX GYMNASTICS ACTIVITIES.
1. Introduction and Definitions
1.1. These Terms and Conditions (“Terms”) govern the participation of your child (“Participant”) in any and all programmes, classes, training sessions, workshops, camps, events, competitions, or other activities (“Activities”) offered, organised, or delivered by Apex Gymnastics (“the Club”, “we”, “us”, or “our”) operating in London.
1.2. By completing the registration process, signing any Club documentation (physically or electronically), paying fees, or allowing the Participant to attend Activities (“Acceptance”), you as the parent or legal guardian (“Guardian”) confirm that you have read, understood, and agree to be bound by these Terms, together with all associated Club policies, procedures, and Codes of Conduct referenced or provided separately.
1.3. Apex Gymnastics reserves the right to amend these Terms from time to time. Reasonable notice of significant changes will be provided via email, venue notice boards, or our website. Continued participation following notification constitutes acceptance of the updated Terms. The current version will always be available on request or via our website.
2. Acknowledgement of Inherent Risks
2.1. The Guardian acknowledges that gymnastics, trampolining, tumbling, and related disciplines are physical activities involving inherent risks. Injuries may range from minor (such as bruises or strains) to more serious injuries including fractures, concussion, paralysis, or in rare cases death.
2.2. The Guardian voluntarily accepts and assumes all known and unknown risks associated with the Participant’s involvement in Activities, including risks arising from equipment use, premises condition, actions of other participants, or the nature of the sport.
2.3. While the Club takes reasonable steps to provide a safe environment through qualified coaching, appropriate equipment, and safety procedures, not all risks can be eliminated.
3. Participant Health, Fitness, and Medical Consent
3.1. The Guardian confirms that the Participant is physically and mentally fit to take part in Activities and does not have any condition that would place them or others at increased risk.
3.2. The Guardian agrees to fully disclose all relevant medical conditions, allergies, medications, or additional needs during registration and to notify the Club promptly of any changes.
3.3. Emergency Medical Consent: In the event of illness or injury where the Guardian cannot be contacted, the Guardian authorises the Club and its staff to administer first aid and obtain emergency medical treatment as deemed necessary by medical professionals.
3.4. The Guardian accepts responsibility for any associated medical or transport costs unless otherwise required by law or covered by Club insurance.
3.5. Participants who are unwell, including fever, vomiting, diarrhoea, or contagious illness, must not attend sessions until fully recovered and compliant with standard exclusion guidance.
4. Compliance, Safety Rules, and Code of Conduct
4.1. Participants and Guardians must follow all safety rules, instructions, and procedures communicated by coaches or staff.
4.2. Appropriate clothing must be worn. Clothing with zips, buckles, hoods, or loose elements is not permitted. Hair must be tied back and all jewellery removed unless otherwise agreed for medical or religious reasons.
4.3. Participants must follow coaching instructions at all times and use equipment only as directed.
4.4. The Club maintains Codes of Conduct for Participants and Parents/Guardians. Acceptance of these Terms includes agreement to uphold those standards.
4.5. Parents or Guardians must not coach, instruct, or interfere with sessions. Any concerns should be raised with staff outside of session time.
4.6. Failure to comply with Club rules or Codes of Conduct may result in warnings, temporary removal from sessions, suspension, or permanent exclusion at the Club’s discretion, normally without refund of fees paid.
5. Fees, Payment, and Membership
5.1. Fees are published in the Club’s current fee schedule and may be reviewed periodically. Reasonable notice will be given of changes to regular class fees.
5.2. Fees must be paid in advance by the stated deadlines.
5.3. Non-payment may result in suspension of the Participant’s place or reallocation to the waiting list.
5.4. Membership fees, including Club membership and any governing body membership, are non-refundable once paid.
5.5. Payment and refund terms for camps, workshops, or special events will be communicated at the time of booking.
5.6 British Gymnastics membership must be active and paid for to attend classes.
6. Missed Classes, Cancellations, and Refunds
6.1. Participant Absence: No refunds are provided for missed classes due to personal reasons, holidays, minor illness, or external commitments.
6.2. Injury During Club Activities: Where a significant injury sustained during supervised Club Activities prevents participation for an extended period (normally four consecutive weeks or more, supported by medical evidence), the Club may at its discretion offer a non-transferable credit for future use. No cash refunds will be provided.
6.3. Club Cancellations: Where the Club cancels a session, a make-up session may be offered where feasible. If this is not possible, a credit or refund may be offered at the Club’s discretion.
6.4. Withdrawal During First Term: During the Participant’s first term only, written notice of withdrawal may be given at any time. A refund will be issued for classes in that term that have not yet been attended. No refund is provided for classes already attended.
6.5. Withdrawal After the First Term: After the Participant’s first term, you may still request to withdraw from the programme by providing written notice. Where possible, the Club will normally aim to be reasonable and may offer a refund for classes not yet attended. However, refunds after the first term are not guaranteed and remain at the Club’s discretion depending on circumstances, notice given, and operational commitments.
7. Liability Release and Indemnity
7.1. To the fullest extent permitted by law, the Guardian agrees to release and hold harmless Apex Gymnastics and its staff from liability arising from the Participant’s involvement in Activities.
7.2. Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence or for any liability that cannot be excluded under the laws of England and Wales.
7.3. The Guardian agrees to indemnify the Club against losses arising from damage or injury caused by the Participant to others or property.
8. Data Protection, Communication, and Marketing
8.1. The Club processes personal data for registration, safety, administration, and regulatory purposes in accordance with UK GDPR.
8.2. Essential communications relating to participation will be sent using the contact details provided.
8.3. Non-essential marketing communications may be sent. You may opt out at any time without affecting participation.
8.4. Data is stored securely and retained only as required by law or legitimate Club purposes.

9. Photography and Video Consent
9.1. Photos or videos may be taken during Activities for coaching or promotional purposes.
9.2. Promotional use includes the Club website, social media, and marketing materials.
9.3. Explicit consent will be requested during registration. Declining or withdrawing consent will not affect the Participant’s ability to take part in Activities.
9.4. Parents are generally not permitted to take photos or videos during sessions unless explicitly authorised.
10. Arrival, Departure, and Supervision
10.1. Participants should arrive on time and not excessively early.
10.2. Late arrival may result in refusal of entry for safety reasons.
10.3. Participants under 12 years or below Year 7 must be collected by an authorised adult.
10.4. Participants aged 12 years or Year 7 and above may leave unaccompanied only with prior written parental consent.
11. Observation Policy
11.1. Parents are generally not permitted to watch sessions from the training area.
11.2. Designated watching weeks or events may be arranged at the Club’s discretion.
12. Lost Property and Personal Belongings
12.1. The Club accepts no responsibility for loss or damage to personal belongings.
12.2. Lost property will be retained for a limited period before disposal or donation.
13. Safeguarding and Welfare
13.1. The Club follows British Gymnastics safeguarding standards and UK law.
13.2. A designated Welfare Officer is appointed. Contact details are available on request or via the website.
14. Complaints Procedure
14.1. Concerns should be raised informally where possible.
14.2. Formal complaints must be submitted in writing to Management@apex-gymnastics.co.uk.
15. Insurance
15.1. The Club maintains appropriate Public and Employer’s Liability insurance.
15.2. Personal accident cover is not guaranteed and Guardians are advised to arrange independent cover if desired.
16. Force Majeure
16.1. The Club is not liable for failure to deliver Activities due to events beyond its reasonable control.
16.2. Any credits or refunds offered in such circumstances are discretionary unless required by law.
17. Governing Law and Jurisdiction
These Terms are governed by the laws of England and Wales and subject to the exclusive jurisdiction of its courts.
18. Severability
If any provision is found unenforceable, the remaining provisions remain valid.
